Job Description

As an experienced automation specialist, your primary role will be to design and implement an AI-assisted email and workflow management system for a growing digital business. The main goal is to streamline multiple email accounts, automate sorting and prioritization, enable task delegation, and ensure important communications are never missed. It is important to note that this position will focus on automation architecture and system implementation, rather than general IT support. Key Responsibilities: - Design and implement automated email workflows, including: - Consolidation of multiple email accounts into a unified management system - Email filtering and labeling based on sender, topic, and priority - Automated routing of specific emails to designated team members - Setup of reminder systems for unanswered emails and follow-ups - Creation of daily or scheduled AI-generated email summaries - Develop integrations between various tools such as: - Gmail / Google Workspace - Automation platforms (Zapier or Make) - Task management tools - Calendar systems - Create systems that allow team members to handle delegated emails without full inbox access. - Implement a workflow where incoming emails can automatically trigger notifications, tasks, delegation, and reminders. - Document the system comprehensively so that it can be maintained by non-technical staff. Qualifications Required: - Proficiency in Zapier or automation - Experience with Gmail / Google Workspace automation - Familiarity with API integrations - Strong background in workflow design - Ability to integrate task management systems - Skill in process documentation The preferred experience includes: - Building automated executive inbox systems - Implementing AI email assistants - Workflow automation tailored for small businesses - Experience with AI tools like ChatGPT or similar systems If additional details about the company are provided in the job description, kindly share them with the candidates during the interview process to give them a better understanding of the company's background.
