Role Overview:
As the Executive Assistant to the CEO, your main responsibility is to ensure the CEO's office operates smoothly, decisions are made efficiently, and external relationships are managed proactively. You will play a crucial role in maintaining effective communication, organizing meetings, managing daily tasks, handling schedules and travel arrangements, conducting research, and creating actionable summaries.
Key Responsibilities:
- Communication hub: Draft, route, and track internal and external communication. Close loops on behalf of the CEO and escalate only the exceptions.
- Meeting management: Schedule meetings, set agendas, capture minutes, assign owners and due dates, and follow through to closure.
- Daily execution: Handle routine correspondence, document preparation, and approvals queue. Maintain an organized digital filing system.
- Schedule and travel: Manage domestic and international travel arrangements, visas, hotels, cars. Produce concise travel briefs and cost summaries.
- Market and company research: Prepare briefs on prospects, partners, competitors, and RFPs. Include sources, key risks, and recommendations.
- Meeting prep packs: Create one-page dossiers on attendees and organizations. Include recent news, decision authority, and likely objections.
- Actionable summaries: Translate lengthy documents into decision notes with next steps and owners.
Partner and Stakeholder Engagement:
- Outreach: Initiate communication with partners, investors, and strategic accounts on behalf of the company. Secure meetings and maintain pipeline momentum.
- Relationship management: Maintain a clean CRM trail. Log touchpoints, commitments, and renewal/next-step dates.
- Follow-through: Send recap notes within 24 hours. Chase agreed actions and address blockers early.
Qualifications Required:
- 47 years of experience supporting CXO/Founder or similar high-tempo roles.
- Strong prioritization skills, written clarity, and calendar discipline.
- Proficiency in research and ability to translate ambiguity into concise briefs.
- Professional communication skills; capable of writing on behalf of the CEO.
- Proficient in tools such as calendar and email management, docs/spreadsheets, CRM, and task trackers.
- Exhibit discretion and judgment in handling confidential material.
Additional Company Details:
The ideal candidate will have experience with partner/channel programs, RFP coordination, or investor relations. Familiarity with U.S. time zones and global travel logistics is a plus.
Work Style:
You should have a bias for action, be proactive in closing loops, and provide regular written updates.
