Job Description

As an Administrative Coordinator at Buro Happold, you will play a crucial role in providing administrative and coordination support to the US-based team, ensuring smooth day-to-day operations across different time zones. Your responsibilities will include: - Providing end-to-end administrative support to assigned US-based stakeholders, facilitating smooth coordination across time zones. - Managing calendars, meetings, and appointments, including scheduling across multiple time zones. - Coordinating virtual meetings by setting up calls, sharing agendas, tracking actions, and following up as required. - Supporting travel arrangements, including booking flights, accommodation, and preparing itineraries. - Preparing, formatting, and maintaining documents, reports, trackers, and presentations. - Maintaining accurate records, spreadsheets, and databases to support administrative activities. - Acting as a point of contact for administrative queries, responding promptly via email, messaging tools, and calls. - Liaising with internal teams to support information flow and administrative processes. - Handling sensitive information with discretion, ensuring confidentiality and data accuracy. - Assisting with ad-hoc administrative and coordination tasks as required. - Identifying opportunities to improve administrative processes and ways of working. Qualifications required for this role include: - Bachelor's degree in business administration, Commerce, Arts, or a related discipline preferred. - 12 years of experience in an administrative, coordination, or support role, preferably in a structured or detail-oriented environment. - Strong written and verbal communication skills. - Comfortable working with stakeholders in different time zones. - Proficiency in Microsoft Office tools, including Outlook, Word, Excel, and PowerPoint. - Experience using spreadsheets, trackers, and basic databases. - Ability to manage multiple tasks, prioritise effectively, and meet deadlines. - High attention to detail and strong organisational skills. Good to have skills: - Experience in administrative or office coordination, travel booking, or personal assistance. - Ability to quickly learn new systems, tools, and software applications.
